Best Practices for Alumni Clubs

Best Practices: Example #32

Club nameU of M Club of Richmond
About how much money does this function/position raise for the club's scholarship fundN/A
Who provided your scholarship or student giveaway materials (silent auctions items, goodies for students, etc)? The club purchases the items that go in the care packages, purchases boxes, pays for shipping and assembles the packages. The club also provides stamped, pre-addressed postcards so the recipients can let us know they received the packages. Because this project is inexpensive (we only have about a dozen area students at Michigan), we pay for this event from club funds.
How many club leaders coordinate this activity? Two to three leaders coordinate the event, getting current addresses for the students, shopping for goodies and mailing the completed packages. The packages are assembled during halftime of the Michigan-Ohio State football game, which we watch at a member's home. Everyone who attends the party helps assemble the packages.
About how much time does it take to plan?Approximately four hours. The most time consuming portion of the planning is checking for the students' current addresses by calling their parents-the addresses provided by the University, via the Alumni Association, are often outdated.
What kind of an impact does this have on the students from the club's community? The students find the packages to be a real morale booster at a difficult time. Their parents are also appreciative.
Is there additional information you would like to share? This event is fun and easy and makes a nice icebreaker at parties. We send things like tea, hot chocolate, soup mix and a variety of snack foods.
